Tools & Systems Analyst

The tools and systems utilised within the Programme Office and across delivery teams are critical to the successful delivery of business change, ensuring alignment to business strategy and ability to support business change that delivers benefit against the Company Plan.

The Tools & Systems Analyst role is critical to Governance & Assurance and the Programme Office as it ensures the operational integrity of the key tools and systems used to support the delivery of change across the business and drives continual improvement in their use and the value of the insight produced from them.

The Main Description:

Reporting directly to the Performance & Quality Manager, the Tools & Systems Analyst will set up and assure the service support model for the Programme Office tools.

The Tools & Systems Analyst will be accountable for ensuring the day to day operational integrity of the tools & systems used to support the delivery and management of projects and programmes, associated processes and the data across the delivery functions. Responsible for proactively managing the service availability levels of the infrastructure and application(s). Collaborating with the delivery Portfolios to define the metrics for operational performance reporting, new configuration and continuous improvement initiatives.

A key aspect to the role is acting as a link between Project Online users and 3rd parties to liaise with the relevant teams to manage updates and planned outages, as well as ensuring the relevant support is being provided by our Partners and Suppliers.

  • Act as a Subject Matter Expert for the tools and systems currently in use across the Programme Office which support the delivery of Projects and Programmes, ensuring ongoing alignment between business/delivery process and tooling.
  • Act as a primary point of advice, support and guidance to Project and Programme Managers on the use of the Programme Office tools and systems, ensuring compliancy and consistency of use.
  • Maintain end to end data in management information systems, tracking databases and reporting tools to deliver timely and accurate reports in line with the baseline reporting routine.
    • Drive and influence data quality, proactively identifying any issues and solutions.
    • Ensure accurate information is shared between relevant interfaces.
  • Assure service integrity for routine updates and changes, coordinating with users and support teams as necessary.
  • Work with technical support teams and 3rd party teams in the support of the operational stability of the Programme Office tools and systems, maintaining the service availability KPI's.
  • Support the coordination team within Performance & Quality with back office activities, such as user and project set up, providing guidance and backup when required.
  • Partake in Community Forums as Subject Matter Expert, driving operational excellence by eliciting requirements for process improvement, tool improvement and exploiting the standard operation of the Programme Office tools and systems.
  • Support the ongoing development of the tools & systems and partake in technical workshops to define and coordinate implementation of future changes.
  • Promote and nurture a consistent use policy on the standard toolset.
  • Support with on boarding of new starters.
  • Proactively seek to address any skills and knowledge gaps that would be critical to undertaking the role by engaging with colleagues and 3rd party partners .

Skills, Experience and Qualification.

As the Tools & Systems Analyst within Programme Office your skills and qualifications will ideally include:

  • Strong self-starter, with the ability to liaise effectively across numerous stakeholder groups at various levels.
  • Have experience in developing & analysing data and the production of MI and reporting.
  • A clear understanding of Programme & Project governance, lifecycles, methodologies (Agile/Waterfall/Release Management) and demonstrable ability to deliver a broad range of the activities required supporting the wider PPM service capability.
  • Have experience in a similar role within a technical or telecoms environment.
  • Have relevant experience supporting tools and systems which underpin PPM in a similar function.
  • Have a formal qualification in a Project Management methodology.
  • Champion of ITIL Support processes and their implementation

Must Have:

  • Advanced user of MS Project and Project Online;
  • Proficient in the use of Microsoft Office365 Applications, Word, Outlook, Excel, PowerPoint, SharePoint
  • Experience in providing analysis reporting
  • Good oral and written communication skills
