We have an exciting opportunity for a Portfolio Support Coordinator to join our Property and Estates team.

The main purpose of the Portfolio Support Coordinators role is to provide administrative and process support to the Property and Estates Portfolio Asset Managers, supporting the processing and management of activities within agreed timescales to ensure we meet all our targets for delivering access to sites.

Key Responsibilities of the Portfolio Support Coordinator include:

Support and administration

To provide property administrative support across the MSA/ Portfolio estate driving completion of all relevant documentation including access, health and safety and security documentation within the MSA/Portfolio Domain.

  • To be aware of & manage dependencies across parallel work streams on a defined group of sites through planning, tracking & reporting
  • To liaise with shareholders, supplier and partner organisations as required.
  • Support escalations from the teams as necessary through regular engagement/contact & meetings with Site Provider and internal departments.
  • Develop and deliver process improvements that ensure sites within the MSA/Portfolio Estate are easily accessible with clear instructions on access and safety requirements and clear lines of escalation both internally and externally.
  • Providing admin support to the Estates and Portfolio Management teams - managing Commercial Contract Management meetings (CCMs) and other review sessions with MSA and Portfolio providers.
  • Reporting and where necessary supporting the Portfolio Asset Managers through proactive data verification and maintenance of access information provided by partner organisations particularly around supplier compliance with agreed processes.

Landlord Engagement

  • Maintain routine contact with key Landlords by way of letters and emails, ensuring engagement and familiarisation with policies and processes .

Escalation Coordination & Governance

  • Reallocate appropriately and track all escalations and administrative issues which are seen to be blockers to delivery/completion, e.g. Access, estates management and treasury queries.
  • Exercising control and governance across all Suppliers to ensure that access and other access requirements are fully complied with, and escalating any critical issues/failures to comply to his/her line manager and where appropriate the Property Portfolio & Strategy Manager.

Compliance & Security

  • To support and contribute actively to health and safety, environmental, business continuity and information security arrangements that meets our obligations to our customer.
  • Process, record and ensure compliance with ad hoc access provisions and other standard health and safety requirements for Portfolios and other MSAs including but not limited to Network Rail, TFL, Water Companies, Heathrow/Gatwick and other Airports.

Continuous Improvement

  • Identify areas for improvement & take ownership of specific issues through to resolution to drive improved performance and achieve targets.

The successful Portfolio Support Coordinator will have:

  • Knowledge gained from working in a mobile network environment or other environment where multiple sites are managed and processed on a day to day basis is advantageous.
  • Confidence in collaborating with multiple stakeholders, organising caseloads, actions and resolution of such actions by third parties in order to deliver against agreed targets
  • Considerable experience of working under pressure in a complex & changing environment.
  • Good communication skills essential, both verbal and written.
  • Confident telephone manner and ability to manage high volumes and extract the information required from the landlords
  • Good working knowledge of Microsoft Windows tools.
  • Ability to work under pressure and remain flexible
  • Work on own initiative
