Job Description

Job Purpose

  • To support the wider people team on all volume admin related tasks including planning and coordinating diaries and supporting logistics, to help ensure the people teams objectives are achieved.

Responsibilities

Client & Customer Management (Internal)

  • Supports small internal customers to ensure their needs are met and/or helps senior colleagues manage client relationships.

Data Collection & Analysis

  • Works independently to collate and analyze data using pre-determined tools, methods and formats.

Data Management

  • Works under guidance (but not constant supervision) to acquire, organize, protect and process data to fulfill business objectives.

Document Management

  • Creates a local document management system to support an office or department.

Document Preparation

  • Organizes and prepares complex documents by using multiple computer applications (such as Microsoft Office), while also gathering and summarizing data for special reports.

Logistics / Arrangements

  • Maintains appointment calendars and reserves meeting rooms according to specific instructions.

Policy Development & Implementation

  • Supports others by performing routine policy-related tasks according to established procedures.

Technical Skills:


Database Administration

  • Works with guidance (but not constant supervision) to design, implement, maintain and administer databases.

Audit

  • Works with guidance (but not constant supervision) to conduct audits, identify exceptions and develop specific solutions or recommendations.

Computer skills

  • Supports business processes without supervision by understanding and effectively using standard office equipment and standard software packages, while providing technical guidance as needed.

Data Collection and analysis

  • Works under supervision to perform elementary data compilation for use in reports to help guide decision making.

Data Management

  • Works under guidance (but not constant supervision) to acquire, organize, protect and process data to fulfill business objectives.

Planning and Organizing

  • Works with guidance (but not constant supervision) to plan, organize, prioritize and oversee activities to efficiently meet business objectives.

Policy and Regulation

  • Works with guidance (but not constant supervision) to interpret and apply knowledge of laws, regulations and policies in area of expertise.
