Job Description

Chinese Mandarin Speaking Executive Office Assistant

Location: London Paddington

Full-time ongoing contract

A fantastic new role has arisen for an Executive Office Assistant to support the managing director, who can also take on office management responsibilities. The ideal candidate will be bright, enthusiastic and people-person. Working closely with our HR and operation team, you will have a huge impact on staff engagement, building upon the existing culture and continuing to make company a great place to work. You'll also be working closely with Managing Director to organise his diaries and key events. This is a dynamic role with the opportunity to shape it into your own.

Responsibilities:

Office management

  • Take responsibility for regular office deep cleans, spring cleans and decluttering desk space.
  • Liaising with the Landlord on maintenance issues as and when needed
  • Be responsible for health and safety in the area of his/ her control and ensure that he/ she is familiar with company UK's health and safety at work policy.
  • Partner with HR to update and maintain office policies as necessary
  • All general administrative duties including but not limited to mail, post, stationery orders, directing and coordinating couriers when needed
  • Interface effectively with Rep Office for administration
  • Work with our HR team on birthdays and celebratory events.
  • Assist in the onboarding process for new hires - prepare laptop and other work equipment, finding desk space, locker space ordering business cards etc. Opportunity to support HR in other parts of the employee lifecycle.

Executive Support

  • Provide administrative services including diary management, arranging travel and accommodation, arranging visa applications, processing expenses
  • Conduct research/ analysis as directed by the Managing Director.
  • Any other duties commensurate with the accountabilities of the post.

Requirements:

  • Hold a Bachelor's degree or equivalent qualification.
  • 2+ years of experience in office management and providing administrative support for senior Executives.
  • Knowledge of UK and China culture.
  • Good English and Mandarin written and verbal communication skills.
  • Good interpersonal and communication skills.
  • Highly organised and attentive to details.
  • Ability to work in a diverse team.
  • Ability to work under pressure to agreed deadlines and adapt to change.
  • Ability to retrieve information from relevant sources through research.
  • Ability to handle confidential and sensitive material.
  • Commit to withhold the integrity and standards of company UK and its values.
