Job Description
Personal Assistant / PA
Hybrid working - 3 days/week in offices IN Reading
An exciting opportunity to work with a leading telecoms company and support key member(s) of the Senior Leadership Team and their teams by organising their time and managing their workload to facilitate day to day activity.
Responsibilities:
Diary Management
Via written and verbal communication, including Outlook, mobile and others, to ensure efficient time management.
Manage conflicts in calendars, including room bookings, to find the best solution and prioritise accordingly.
Arrange travel and accommodation bookings for key leadership team members ensuring best deals available are secured.
Meeting and Events Management
Arrange travel and accommodation bookings for the directors and key leadership team members ensuring best deals available are secured.
To effectively plan and coordinate corporate training events, team off-sites, evaluation workshops, conference and companywide events on behalf of the leaders, from inception through to tendering, to event management, budgetary control, invoicing and post event appraisal.
To plan and implement hospitality arrangements for the directors including provision of hospitality for Visitors for events.
Prepare agenda and minute meetings to ensure data and content is captured accurately.
Preparation and Organisation
Prepare subject material for Directors to ensure they are fully aligned.
To ensure appropriate systems and processes are maintained to support effective and efficient day to day running of the teams.
Expenses
Manage, collate and submit expenses for the leaders through the Agresso Expense System to ensure timely payment and accuracy.
Representation and Senior Stakeholder liaison
Liaise at a senior and professional level at all time, via telephone, e-mail and in person.
Build rapport with internal colleagues, including senior stakeholders, and with the Shareholders and their PA's therefore representing the Company at a high level.
Meeting Coordination
Prepare agenda and minute meetings to ensure data and content is captured accurately.
Facilitate
Generally, assist the Directors and senior colleagues as required to ensure smooth running of day-to-day business through project work or ad hoc duties as required.
Ensure accurate colleague records and departmental information are maintained to assist the Directors regarding leave requests and expenses submitted by members of their team.
Act as the 'eyes and ears' to the leaders on day-to-day issues/concerns identified in the team.
Agresso Raise requisitions for PO requests for team members and other departments in Cornerstone as required and receipt PO's accordingly.
