Job Description:

Our client is a dynamic and forward-thinking organisation seeking a highly motivated and experienced Executive Assistant to join the team in Reading. This role offers an exciting opportunity to work closely with the senior leadership team and make a significant impact on the success of the business.

As an Executive Assistant you will be pivotal to ensuring the smooth and efficient operation of the executive team. You will provide comprehensive administrative support, manage complex calendars, and handle a wide range of tasks with precision and discretion.

Responsibilities will include:

  • Calendar Management: Proactively manage the schedules of senior executives, making strategic decisions to optimise their time.
  • Coordinate meetings, appointments, and travel arrangements, ensuring all logistics are handled seamlessly.
  • Communication and Correspondence: Draft, proofread, and edit various documents, reports, and presentations.
  • Project Coordination: Assist with project management tasks, tracking progress, deadlines, and deliverables.
  • Collaborate with cross-functional teams to ensure projects stay on track and meet objectives.
  • Data Management: Maintain and organise important company data and files, ensuring easy retrieval when needed.
  • Handle sensitive and confidential information with the utmost discretion.
  • Office Management: Oversee office supplies, equipment, and facilities to ensure a well-maintained and efficient work environment.
  • Liaise with external vendors and service providers as needed.
  • Event Planning: Assist in planning and coordinating corporate events, conferences, and meetings.
  • Arrange catering, logistics, and materials for events.

About You!

  • Proven Experience as an Executive Assistant or in a similar administrative role, supporting senior executives.
  • Exceptional Organisational Skills: A knack for multitasking, managing priorities, and meeting deadlines in a fast-paced environment.
  • Strong Communication: Excellent written and verbal communication skills, with the ability to interact professionally with all levels of the organisation.
  • Tech-Savvy: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), as well as familiarity with scheduling software and virtual meeting platforms.
  • Discretion: A high level of integrity and the ability to handle confidential information with the utmost sensitivity.
  • Problem-Solving: Strong analytical and problem-solving skills, with the ability to proactively identify and address issues.
  • Adaptability: The flexibility to adapt to changing priorities and take on new tasks as needed.
  • Attention to Detail: A meticulous eye for detail and accuracy in all tasks.
