Based in Berkshire

In this high profile position and you will act as a trusted confidante and sounding board and maintain a supportive and trusting relationship.

You'll be tasked with providing proactive, comprehensive support and efficient running of the business area. Playing a co-ordination role with other PA's within function and cross-functionally, ensuring high standards are met and the function is highly regarded.

The Role

  • Diary management and co-ordination of meetings and all related arrangements.
  • Travel arrangements.
  • Ensuring all relevant meeting documents (including agendas, pre-reading, prep, action updates and input from the team) are available prior to meetings.
  • Booking meeting rooms.
  • Managing the Director`s emails - flag what's important and needs to be actioned in timely manner.
  • Team systems management online for absence, new starter's requests - laptops, passes etc.
  • Raising purchase order requests.
  • Organise and process expense claims for the Director.
  • Assisting with team social events.
  • Distribute actions to the team where appropriate and track regularly to ensure completion.
  • Attend meetings as required to capture actions and meeting notes.
  • Providing great on boarding experience for new starters.
  • Prepare and revise documents where appropriate including PowerPoint presentations, reports etc.
  • Maintaining the organisational charts for the team.
  • Work with other People Team PAs on engagement initiatives.
  • Managing team meeting agendas and SME's briefings.

Skills, Experience & Qualifications

  • A highly organised individual with experience of working as a PA/EA at Senior Management Level.
  • Ability to establish and maintain excelling working relationships at all levels, internally and externally, especially with the Director's team and other PAs in the business.
  • Understanding of the sensitive nature of the functions work and maintain strict confidentiality at all times.
  • Agility and ability to work in a fast-paced environment.
  • Excellent organisation skills with an ability to prioritise an often conflicting workload.
  • Excellent administrative, time management and self-organisation skills.
  • The ability to plan ahead and anticipate potential problems.
  • The confidence to use your own judgement to proactively make decisions as and when required.
  • Strong written and verbal skills, providing effective communication across differing levels of the business.
  • Ability to manage multiple tasks simultaneously, solve problems, manage and meet deadlines and maintain a high quality of work.
